The Role: Maintenance Documentation Administrator

As a Maintenance Documentation Administrator within Reliability Engineering, you will support the control, organization, and accuracy of maintenance-related documentation across mission-critical data center infrastructure. This role exists to ensure maintenance procedures, service records, and compliance documentation are properly formatted, version-controlled, and audit-ready. You will work closely with the Maintenance Documentation Manager, Facilities Operations, and approved vendors to maintain disciplined document control practices that protect uptime and regulatory compliance.

What You’ll Do

  • Maintain and organize maintenance documentation within document management and CMMS platforms.

  • Process document updates, revisions, and approvals according to established change control procedures.

  • Ensure SOPs, MOPs, EOPs, maintenance procedures, and service records are properly formatted, indexed, and accessible.

  • Track document revision history, metadata, and approval workflows to maintain traceability.

  • Verify maintenance records are accurately entered and maintained within the CMMS.

  • Maintain vendor-submitted documentation including service reports, certifications, and compliance records.

  • Support audit preparation by compiling documentation packages and validating completeness.

  • Coordinate with Facilities Operations and Reliability Engineering to align documentation with executed work.

  • Identify documentation gaps or inconsistencies and escalate appropriately.

  • Assist with process improvements related to documentation workflows and compliance tracking.

  • You maintain high accuracy in document control and recordkeeping.

  • You follow established processes and protect version integrity.

  • You stay organized while managing multiple documentation requests.

  • You communicate clearly with technical and operational teams.

  • You identify inconsistencies and escalate issues before they create risk.

  • You demonstrate a strong commitment to compliance and operational integrity.

What You’ll Bring

Required:

  • 3+ years of experience in document control, maintenance administration, compliance support, or facilities-related environments.

  • Experience working with document management systems and CMMS platforms.

  • Strong organizational skills and attention to detail.

  • Ability to manage document lifecycles, version control, and approval routing.

  • Proficiency with Microsoft Office and document formatting standards.

  • Strong written and verbal communication skills.

Preferred:

  • Working knowledge of maintenance environments including electrical, mechanical, HVAC, UPS, and generator systems.

  • Experience supporting audits or regulatory inspections.

  • Ability to interpret technical documentation and service reports.
