The Executive Assistant to Finance Leadership provides high-level administrative and operational support to senior members of the finance organization. This role serves as a strategic partner to finance leadership, providing insight and proactive support to help drive critical business priorities. It manages executive priorities, coordinates external stakeholder engagement, and ensures day-to-day operations run efficiently.
The position works closely with finance leadership and supports interactions with external financial partners, including investors, lenders, and strategic partners. A key responsibility of this role is coordinating onsite meetings with external financial stakeholders visiting the New York office, ensuring meeting logistics, materials, and scheduling are handled seamlessly. In addition to executive support responsibilities, the role provides limited coordination of office logistics to maintain a professional and organized work environment. This role requires discretion, strong organizational skills, and the ability to manage multiple priorities independently.
Manage complex calendars, scheduling priorities, and competing commitments for finance leadership.
Coordinate domestic and international travel arrangements, including detailed itineraries and logistics.
Prepare executive correspondence, reports, presentations, and meeting materials.
Organize executive meetings including agendas, briefing materials, and follow-up actions.
Track leadership priorities, deadlines, and key deliverables to ensure timely follow-through.
Maintain clear communication between finance leadership and internal teams.
Handle confidential financial and business information with discretion.
Coordinate onsite meetings with investors, lenders, and external financial partners visiting the New York office.
You will represent finance leadership in interactions with external partners, ensuring professionalism and seamless coordination at every touchpoint.
Manage meeting logistics including scheduling, room coordination, materials preparation, and follow-up.
Assist with preparation and organization of materials used in financial and investor-related discussions.
Process expense reports and assist with invoice and purchase order coordination.
Maintain organized financial and administrative records.
Support documentation for budgeting, reporting, and finance workflows.
Assist with month-end documentation tracking and coordination.
Coordinate office vendors, supplies, and facilities requests for the New York office.
Support visitor logistics for external partners and guests.
Provide logistical support for select internal meetings or small office gatherings as needed.
Highly organized with the ability to manage multiple priorities independently.
Clear communicator who shares information accurately and in a timely manner.
Strong attention to detail and reliable follow-through.
Comfortable handling confidential financial and business information.
Proactive problem solver who anticipates needs and removes operational obstacles.
Collaborative team partner who supports leadership effectiveness.
4–7 years of experience supporting senior leaders or executive teams.
Proven experience partnering with senior executives to manage complex calendars, competing priorities, and executive-level travel logistics.
Experience coordinating high-profile meetings with internal and external stakeholders, including investors, lenders, and strategic partners.
Strong organizational and time management skills.
Proficiency in Microsoft 365, especially Excel, Outlook, and PowerPoint.
Ability to handle sensitive and confidential information with professionalism.
Ability to anticipate executive needs, proactively manage priorities, and resolve operational challenges with minimal guidance.
Experience supporting finance or accounting leadership.
Familiarity with finance, accounting, or ERP systems, and experience supporting financial workflows and reporting.
